About The Role
Contract Administrator (Contract Repository & Governance) owns and operates the company’s contract repository (SharePoint + Power Apps) to ensure customer contracts are stored correctly, securely, and consistently. The Contract Administrator ensures data quality, correct access assignment, contract lifecycle integrity (active/expired/terminated), and smooth handling of new-customer (MDG) staging and promotion
You will:
In partnership with the OTC GPO, MDG GPO, Pricing Operations Lead, Revenue Compliance, OTC operations and local markets this role will have direct responsibilities for:
1) Repository Operations & Contract Intake Governance
- Ensure all signed customer contracts and related documents (amendments, annexes, SOWs) are stored in the repository in line with the process
- Support Sales and other functions with contract upload and retrieval (including troubleshooting upload and access issues)
- Validate contract submissions for completeness (mandatory metadata, correct document type, correct customer reference)
- Maintain “single source of truth” by preventing duplicates and ensuring the latest signed version is identifiable
2) Metadata Quality & Master Data Alignment (SAP/MDG)
- Ensure each contract record is linked to the correct SAP/MDG Customer ID.
- Manage “Customer not in MDG” scenarios
- Maintain staging records until MDG ID is available
- Promote contracts from STAGING → FINAL once MDG ID exists
- Run regular data quality checks (missing expiry dates, missing owner, incorrect country routing, incomplete customer references)
3) Access Management (Owner-Based + Country-Level Oversight)
- Operate and monitor the access model:
- Handle ownership changes (e.g., account reassignments, leavers) and ensure access is updated accordingly.
- Manage exceptions
4) Lifecycle Management & Reminders
- Monitor automated renewal/expiry reminders and follow up on overdue actions.
- Support business users with renewal preparation by ensuring expiry/notice period data is accurate.
5) Process Compliance, Audit & Reporting
- Produce routine reports: expiring contracts, staged backlog (no MDG), missing metadata, upload compliance/adoption KPIs
- Support internal/external audits by providing register exports and evidence of correct repository usage.
- Ensure repository practices align with retention and records management rules (in cooperation with Legal/Compliance).
- Support Revenue Compliance and OTC operation team by providing information required for dispute handling
6) Continuous Improvement & Change Management
- Own user guidance materials (quick reference guides, FAQs).
- Deliver onboarding for new users and periodic refresh training.
- Collect feedback and drive improvements to metadata model, app screens, and automation rules (with IT).
- Participate in UAT, release testing, and hyper care during changes.
About You
Required skills & experience
Bachelor’s degree in Business Administration, Commerce, Management, Law, Information Systems, or a related discipline from a recognized university in India.
Postgraduate qualification (e.g., MBA, PGDM, Master’s in Management, Operations, or Information Systems) is desirable but not mandatory.
Certifications or formal training in contract management, commercial operations, records management, compliance, or data governance (e.g., contract lifecycle management, legal operations, SAP or master data fundamentals) will be an added advantage.
Experience in contract operations, sales operations, order-to-cash, legal ops, or document governance.
Strong understanding of business processes and ability to enforce standardized ways of working.
Good working knowledge of Microsoft 365 tools:
SharePoint document libraries and permissions concepts
Power Apps / Power Automate basics (user-level understanding; not necessarily developer)
High attention to detail (metadata quality, audit readiness).
Stakeholder management and “service desk” style problem solving.
Preferred
Experience in customer master data (SAP/MDG or similar).
Experience implementing/operating contract repositories or document management solutions.
Familiarity with retention/records management.
Experience working in a multinational environment and country-based governance.
