Description

The Executive Assistant to Managing Director (MD), plays a pivotal role in supporting the demands of the MD role along with leading and managing the day to day operations of the Dyson Sydney office. The role promotes efficiency, exceptional quality and timely execution, acting as a vital partner to make the day to day requirements smooth and proactive for the MD and the Leadership Team (LT).

Accountabilities

  • Work in true partnership with the Managing Director to ensure seamless and efficient ways of working, proactively improving processes to maximise administrative efficiencies
  • Manage all of the MD’s diary requirements and prioritise activities as needed
  • Arrange the MD’s travel (interstate and international) and other business arrangements (eg external appointments)
  • Communicate on the MD's behalf with organisational executives both internal and external
  • Maintain calendars, identifying conflicts and resolving promptly and coordinate all meetings on behalf of MD and/or Leadership Team: locally, interstate or international
  • Arrange meeting spaces or offsite venues as needed
  • Compile presentations, reports and statistical data as directed and collate agendas for meetings
  • Record and distribute actions/minutes of various meetings & follow up accordingly
  • Submit monthly expenses on behalf of MD
  • Ad-hoc administration support to Leadership Team
  • Manage the day to day operations of the office
  • Implement processes and ways of working to promote efficiencies and continuous improvement
  • Coordinate deliveries and couriers via International Towers loading dock
  • Supporting WH&S compliance needs: First Aid Officers, Fire Wardens,
  • Oversee the coordination of external contractor & maintenance needs
  • Leadership of support services team (PA's and Reception)

Skills

  • Previous experience in an EA or PA role supporting senior leaders within a complex and fast paced organisation 
  • Superior level of skill in Microsoft suite
  • Previous experience in a coordination role
  • People leadership experience (desired but not essential)
  • High attention to detail
  • Ability to work autonomously and exercise discretion
  • Experience in implementing process improvement and efficiencies
  • Enthusiastic and motivated to drive ideas and processes through to execution
  • A natural problem solver, anticipating the leadership teams problems before they arise
