Description

Operations Coordinator role is supporting the Category Heads across the operations team in the processing, control and management of business procedures and documentation. With the scale and volume of business growth, network transition and moving pieces throughout the Operations team bringing together the handling and processing of key activities will enable to free some time from the Category Heads in the day to day management of the business.
The teams are spending more and more time travelling between Malaysian vendors and with the expansion and continued growth in the Philippines this is only going to scale and grow, whilst at the same time expanding categories, teams and organisations increases the need to have synergy across each of the business categories and operational facilities. 

Accountabilities

Coordination and Arrangement (60%)
  • Travel Schedules, Flights, Hire Cars, Hotels and Visit Agenda/Appointments
  • Weekly/Monthly/Quaterly Business reviews and Meetings – Aligning and Maintaining calendars and meeting space bookings 
  • Pre-booking and management of external event booking and coordinating activities for internal/external activities periodically through the year
  • Scheduling and Management of on boarding and exit processing criteria for Operations Team members
  • IT and Facilities Coordination of requirements and readiness of equipment as needed 
Processing and Reporting (40%)
  • Completion and processing of monthly adhoc claims and submission before the monthly cut off timing 
  • Consolidation of monthly reporting and data sharing 
  • Tracking and reporting of Operations Recruitment progress
  • Coordination and tracking of training and development plans, needs and progress
  • Tracking and management of Operations Holidays and coverage through key festivals and holiday periods
  • • IT requests for new starters

Skills

  • Strong communication skills in English written/verbally
  • Ability to multi-task and meticulous
  • Able to travel between sites and also to Singapore occasionally
  • Able to communicate with all levels of employees
  • Ability to follow through tasks from start to finish 
  • Ability to work independently with minimal supervision
  • Proficiency in MS word, MS excel and MS outlook a must
  • Strong work ethic, positive attitude and the highest integrity
  • Fresh Degree holders are encouraged to apply
  • Able to start immediately 
  • Experience in manufacturing will be an added advantage
