About the role

Main accountabilities:

Secretarial Duties:

  • Support Director with diary management and meeting arrangements
  • Prepare meeting agendas, correspondence with attendees, take meeting minutes and follow up
  • Travel planning and arrangements
  • Understand the business strategy and organization structure to liaise effectively with other key functions and reports across the business
  • Manage expenses claims 
  • Co-ordinate all internal and external meetings including arranging venues, facilities and refreshments
  • Provides logistic support for workshops & meetings that involve visitors & LT

General Administration support and facilities management:

  • Handle all aspects of office administrations and general staff queries
  • Raise Purchase Orders and track approvals in a timely manner
  • Co-ordinate internal and external meetings including arranging venues, facilities and refreshments
  • Co-ordinate new starter process i.e. seat arrangement, IT equipment, phone, security pass
  • Undertake building service activities like mail, couriers, supplies and catering
  • Ensure the office environment is professional, addressing any areas that need attention
  • Support with desk moves, office upgrades, renovation, and issue resolution
  • Supports office renovation project and logistic for office wide activities.
  • Company leasing administration
  • nsure office cleanliness and keep reasonable pantry supplies

About you

Requirements:

  • Degree holder
  • 4- 5 years' relevant experience including facilities management, office administration, personal assistant experience is required
  • Microsoft office capability including strong Word, PowerPoint and Excel
  • High level of communication skills, both verbal and written in English and Chinese
  • Excellent communication and presentation skills
  • Excellent time management skills and ability to multi-task and prioritize work
  • Ability to maintain a high level of accuracy & confidentiality
  • Attention to detail with strong problem-solving capability
  • Fix things that you can see need fixing
  • Identify problems and find solutions
