A multi-faceted PA role sitting in Cologne that provides core PA support to the MD, which covers diary management, travel arrangements, PO requests and support preparation for both internal and external meetings.  The role also supports office management and project work across the market, including ownership of market events and office organization.


Manage Diary for Managing Director
  • Proactively organise and manage diary of Managing Director on a daily basis including management and awareness of email traffic and priority work
  • Liaise with external customers PA’s to arrange meeting dates between Directors and Customers
  • Be the lead organiser for all internal events (Senior Leadership Conference/ /Senior Management meetings) viewing and booking locations, agenda management, co-ordinating refreshments and travel arrangements for the team
  • Arrange all travel and hotel bookings for the Managing Director 
  • Coordinate the budget and summit review process including management of presentations
Provide an administrative resource to the Managing Director
  • Manage all of the action points from the Exec meetings with the team
  • Complete expenses each month for the Managing Director
Provide Secretarial Support to the Managing Director
  • Prepare presentations for the Managing Director as requested
  • Prepare reports as requested
  • Prepare minutes and actions for meetings as requested
  • Send business letters when necessary
Own and manage the raising of PO’s for the Team where required
  • Actively manage the PO process for all areas of the business
  • Update key individuals as appropriate to the status of POs
General tasks
  • Support the wider Leadership Team with administration as requested
  • Ad-hoc tasks to support the general running of the team and organisation


  • Minimum Experience of 2 years working as a PA in a large organisation
  • Experience working at senior management/Managing Director level
  • Proficient in Outlook, Excel, Word, Powerpoint
  • Excellent organisational and planning skills 
  • An excellent communicator, able to adapt style to all levels of the business
  • Ability to work in a fast paced and challenging environment
