Description

Dyson, whether at the headquarters in Malmesbury or globally, is growing at a rapid pace, and the estates team need to not only anticipate this growth, but also ensure that both new and existing properties are set up, operated and maintained to the expected standard. To create this positive and progressive working environment and to be able to respond to the changing needs of the business we are looking for a Workplace Manager, to support our existing office space portfolio, grow/change relevant programming for these spaces, and also to take responsibility for new workplace sites as they come online. 
Based at our US Headquarters in Chicago, IL this role will work with the Estates team to deliver programs and services related to workspaces in North America. Critical to success in this role will be positive interactions with stakeholders to drive an excellent user experience.
The role will involve overseeing our existing staff of workplace concierges and coordinators to ensure that our spaces operate seamlessly and will continue to meet with standards set forth in our Global Workplace Guidelines. While this position will be located at our US Headquarters in Chicago, you will also be responsible for overseeing our Call Center space in Aurora, our network of 3rd party office spaces, and will liaise with our office teams in Mexico and Canada. Your team will be tasked with representing the Estates team, taking ownership of user needs and ensuring our workplace is ready for use each day. Drawing on other estates functions including building services, cleaning, catering etc. you will be the conduit between the users and estates ensuring customer satisfaction at all times. 

Accountabilities

  • Working environment – manage and support the Workplace Concierge staff in promoting a progressive and agile working culture. Liaise with internal teams when physical changes are planned to ensure the user experience is seamless
  • Ability to manage multiple streams of work in tandem, including but not limited to: budget forecasting and management, facilities maintenance coordination, and general vendor management 
  • Building projects – manage requests for space changes from end users including but not limited to: vetting/appraising requests, bidding work, securing budget, and project delivery. Sample projects include: furniture installation, IT/AV service coordination, and café equipment upgrades
  • Workplace programming – coordinate with our external vendors to audit and continuously improve the selection of programs offered to our employees including but not limited to: food and beverage service, transit, and health/wellness services 
  • Stakeholder engagement – serve as the main point of contact for executive stakeholders and deliver monthly updates to relevant workplace stakeholders via Office Operations meetings
  • Coordinating with the estates team to ensure all contractor and workplace related visits are communicated with the end user and that the workplace is available when required
  • Be a Health & Safety ambassador ensuring that concerns/queries are reported to the H&S team
Additional accountabilities:
  • Promote the Estates change management and Help desk processes within the local user groups.
  • Cooperate with other departments such as IT, Security etc. when workplace matters require their input
  • Report critical details to the Estates management organization while proposing timely and cost effective solutions for outstanding needs

Skills

  • Experience with one or more of the following: office/workplace management, facilities, hospitality, concierge, personnel management, budget management, customer experience
  • Proven ability to prioritize and multi-task in a fast paced environment
  • Previous experience in similar role for a large organisation
  • Previous experience managing distributed teams and remote employees
  • Comfortable with ambiguity
  • Highly organised, attention to detail with experience of prioritization under pressure
  • Strong communicator; ability to convey issues concisely and accurately
  • Excellent interpersonal skills; ability to build productive working relationships and influence 
  • Good  analytical skills; to be able to assess problems thoroughly and drive logical conclusions
  • Confident; comfortable with interacting with others, and willingness to show initiative
  • Assertive; readiness to press teams and suppliers to take remedial action when required
  • Good IT skills - proficiency with Microsoft package software, particularly Excel and PowerPoint 
  • Experience with financial accounting systems. Previous SAP & Ariba experience preferred but not required 
  • Comfortable with travel as required up to 20%
