    About The Role:

    Reporting to the Sr Director, Marketing, this role supports budget management across all marketing teams, ensuring accuracy of marketing billing execution.  This position also supports the marketing team across other administrative responsibilities, including marketing asset localization, facilitating translation needs, consolidating reports and presentations, and team-specific support as needed.  This role requires excellent communication skills, teamwork, a high degree of accuracy and organization combined with proficiency in multi-tasking.  As the business cycle varies, priorities will be clearly aligned to ensure a manageable workload is maintained.

    Main responsibilities:

    1/ Budget Administration

    Create and manage all marketing Purchase Orders:

    • Partner with marketing budget owners and finance to ensure timely completion of purchase orders and invoices
    • Verify processing of Goods Receipts with internal and external vendors.  Identify and flag trends when completing the GR process of invoices

    Ensure accurate billing from Dyson’s 3rd party marketing providers:

    • Add new vendors to the Ariba system as required
    • Audit billing to ensure compliance with contractual rates for services rendered by Dyson’s 3rd party vendors
    • Identify and raise disputes for any billing discrepancies; work with 3rd party marketing providers to resolve any billing discrepancies while maintaining strong vendor relationships

    Log invoice detail:

    • Log invoice detail and assign to appropriate cost centre
    • Input invoice detail into Dyson SAP system for payment by Accounts Payable
    • Support budget owners with maintenance of budget trackers

    Prepare month end billing accrual:

    • Present status updates in monthly meetings with Budget owners and Finance analyst
    • Compile accrual of open invoices to ensure billing is booked in the month the service occurred
    • Reconcile open billing to balance with 3rd party marketing provider’s open balance
    • Review accruals with Accounts Payable to ensure charges are posted to the correct period and cost centres

    2/ Marketing team planning administration

    Other responsibilities may include supporting marketing asset localization, facilitating translation needs, consolidating reports and presentations, and ad hoc requests from category, media, retail marketing and PR teams.

    About You:

    A dynamic, enthusiastic and collaborative professional who -

    • Has a university degree or similar, with ideally 2+ years experience in a similar role with exposure to basic accounting and/or billing experience
    • Demonstrates understanding of marketing activities
    • Ariba/SAP experience preferred, Microsoft Excel proficiency required.  Proficient in data entry and management
    • Strong analytical and problem-solving skills
    • Ability to work independently and succinctly summarize data
    • Has strong attention to detail and accuracy
    • Works well in a fast-paced environment
    • Successfully builds and maintains relationships in a collaborative team environment
