About the Role

In this role you will be responsible for proactively organising and managing the diary for Dyson Nordics Country Manager as well as acting as the main point of contact for our Stockholm Office.

In the role you operate as the spider in the web, and proactively and efficiently picking up on several ad-hoc matters, liaise with stakeholders on all levels and ensuring a safe and pleasant working environment for our employees. You’ll be accountable for organising and planning meetings and company events along with supporting the required internal communications. You will also offer support to the full Nordic Team in several tasks, including but not limited to; PO administration, on-boarding, IT equipment, and employee benefits. The ideal candidate has a natural ability of being flexible and handle anything that might come their way, and brings structure to our high preforming, ever changing environment.  

The role reports directly to the Country Manager for the Nordic organisation.

Key Responsibilities

  • Book and co-ordinate meetings, conferences, internal events and travels as requested

  • Act as the Country Managers right hand including diary management and expense reporting.

  • Account administrations including handling petty cash and expense management for the full team.

  • Partner with HR and management team to maintain office policies as necessary

  • Support on-and-offboarding programs for employees

  • Raising purchase orders, follow up on payments and book invoices

  • Own official e-boxes and communicate with authorities in each of the Nordic countries

  • Act as the main point of contact for office related queries

  • Continuous improvement of administrative processes and roll out of any changes as required.

  • Oversee office efficiency by maintaining appearance of common areas, organizing procedures, handling correspondence, managing filing systems, and keep track of supplies, necessities, and equipment available in the office

  • General errands from time to time

  • Other ad-hoc admin duties

About You

You will have a proven background working as an Office Manager & PA/EA in a large, multifunctional organisation. You thrive in a fast-paced environment and appreciate that one day is not the other day alike and are able to demonstrate excellent diary management, organisation, and communication skills. You already know that structure is key.

  • Minimum of 3+ years of office management experience, preferably in a multi-national organization

  • Excellent time management skills and ability to multi-task and prioritise work

  • Strong relationship-building and communication skills

  • Advanced computer skills and experience with online platforms

  • Proficiency Microsoft Office, with aptitude to learn new software and systems

  • Attention to detail and problem-solving skills

  • Fluent in English and one of the Nordic languages
