About the role
Greet employees, visitors and guests,
Manage Diary for the General Manager of Turkey. Proactively organise and manage diary of GM daily including management and awareness of email traffic and priority work,
Be the lead organiser for all internal events (Senior Leadership Conference /Senior Management meetings / LT meetings / Office Happy Hour Activities) viewing and booking locations, agenda management, co-ordinating refreshments and travel arrangements for the team
Participate in the LT meetings and prepare necessary documents ahead of the meeting, follow up the action log
Office maintenance support incl. communication with landlord, contractors and suppliers,
Inventory check for stationery, office supply and corporate give-away,
Stakeholder Management - liaison with key Dyson Internal stakeholders to capture feedbacks, and translate into improvement plans for building services, café/kitchen/catering services
Cost Tracking – processing and recording of quotes and invoices, tracking of expenditure vs. budget, cost reports, managing the PO process for all areas of the business
Liaise with external stakeholders PA’s to arrange meeting dates between Directors and Stakeholders,
Arrange all travel and hotel bookings,
Fleet management for company cars,
Organise new starter process, inductions and training activities
Health and safety management for HQ and Field
Other office housekeeping as required e.g. Stationary ordering, reporting faults and breakdowns of equipment, general office cleanliness and upkeep
Working in coordination with the HR team on HR-related issues
About you
Previous experience in working as a PA/admin support in a large organisation
Experience working at senior management/Managing Director level and management experience of an Office Manager or similar
Proficient in Outlook, Excel, Word, PowerPoint
Excellent organisational and planning skills
An excellent communicator, able to adapt style to all levels of the business
Professional/discreet/loyal
Team player
Able to pick things up quickly
Attention to detail and proactive upward management
Fluent in Turkish and English
