About the role
Provide proactive PA and administrative support to the Country manager and the Dyson team based in Warsaw. Coordinate setup and act as office manager for the Dyson office in Warsaw.
Provide support to the Country manager.
Prepare and edit correspondence, communications, presentations and other documents for the Country manager.
Proactively manage in-tray, daily post and emails for the Country manager.
Act as the first point of contact for the office in Warsaw.
Take minutes of meetings where appropriate.
Keep confidential information confidential.
Manage Diaries for the Country manager.
Proactively organise and manage diary of the Country manager.
Arrange all travel and hotel bookings for the Country manager including producing detailed itineraries and appointment schedules.
Liaise with Dyson customers to arrange meeting dates between customers, Country manager and other attendees. Arrange flights/accommodation abroad for retail events/IFA…
Co-ordinate all internal and external meetings and events for the Country manager and team.
Manage administration
Maintain contact with Social Insurance Institution (ZUS).
Work closely with HR and Payroll teams.
Manage basic HR processes including starters, employee lifecycle changes and leavers.
Produce changes to terms and conditions letters and contracts.
Being point of contact for policy, process and contractual queries from the business.
Establish standards and procedures, measuring results against standards, and making necessary adjustments.
Conduct research assemble and analyse data to prepare reports and documents.
Manage follow up of action points from internal and external meetings.
Complete expenses each month as required.
Manage mailing of items by courier and post from the Dyson office.
Manage the Dyson Warsaw office facilities and infrastructure.
Oversee and support all administrative duties in the office and ensure that office is operating smoothly
Maintain the condition of the office and arrange for necessary repairs
Maintain office and kitchen supplies
Assist with office layout planning and office moves, and with managing and maintaining IT infrastructure
Liaise with external vendors and review prices to optimize processes
Raise purchase orders and process vendor invoices
Set up and continually review operating practices and implement improvements where necessary
Help managing the set up of the Warsaw office.
Represent Country manager and team.
Co-ordinate input to reports including Board report
Welcome visitors to the office and act as host for international visitors arranging hotels, transport and meetings as needed.
Develop and maintain relationships with Dyson international offices and Dyson customers.
Fulfil other duties as required
Co-ordinate larger projects from departments as required
Set up internal & external venues of different projects + other creative content
Relish the opportunity to pick up new activities that fall broadly in the purpose of the role

About you
Experience and Education
University degree
2+ year experience as an Administrative manager/PA/Office manager
Fluent English (both verbal and written) is a must
Very good computer skills (especially MS office)
Familiarity with legislation in the areas of employment, equality and diversity, and data protection - this is useful, but not essential
Strong team player with the ability to work independently and with autonomy
