Personal Assistant to GB&I Managing Director

About the role

We have a role that requires an exceptionally organised, forward-thinking and proactive individual to provide professional, administrative and project support to the Managing Director (MD) of GB&I, the Marketing Director of GB&I and the wider GB&I Leadership Team (LT).

  • Co-ordinate two very busy calendars – proactively managing the time and priorities of the MD and the Marketing Director, demonstrating an understanding of GB&l, the business priorities, and the wider Dyson organisation.

  • Assist some of the other LT members with calendar support, when needed, ensuring prioritisation of business needs.

  • Help ensure the MD and Marketing Director are prepared for important meetings, helping to find time to prepare and plan with key LT and stakeholders or to read any pre-read materials.

  • Record and communicate LT meeting actions where required and follow up accordingly.

  • Plan-ahead to anticipate needs, busy periods and changing priorities – and eliminate issues before they arise.

  • Deal with highly sensitive and confidential information appropriately, demonstrating a high level of emotional intelligence.

  • Manage and coordinate regular and complex travel itineraries including ground transportation, flights and accommodation, for the MD, the Marketing Director and many of the LT.

  • Manage company credit card and personal expenses, for the MD, the Marketing Director and many of the LT.

  • Support and manage specific projects, whilst providing project support for other business unit projects as needed.

  • Coordinate Bath Rugby business partnership activities and manage hospitality box attendance at home matches, ensuring a continuous flow of communication to key stakeholders.

  • Support and manage in-house and external meetings, events and conferences.

  • Take responsibility for the GB&I Bristol office space to ensure it runs efficiently and is an inspiring Dyson space.

  • Coordinate and support visits from external and internal guests (such as executives from other areas of Dyson).

  • Undertake additional responsibilities to meet business requirements, as needed.

About You

The role requires a highly self-motivated, dedicated and forward-thinking person who possesses excellent commercial awareness and communication skills. In addition, this role requires:

  • The ability to network across the GB&I market, the EMEA region and internal and external PAs/TAs;

  • Excellent time management and attention to detail;

  • A high level of emotional intelligence;

  • Ability to demonstrate initiative and to suggest improvements to processes;

  • Exceptional communication skills;

  • Confident self-starter, able to take ownership, work proactively, think ahead and multi-task in a fast-moving environment;

  • Exceptional organisational skills and 'can-do' attitude;

  • Sensitive and diplomatic management of multiple high-level stakeholders with a high level of confidentiality;

  • Confidence in decision making and prioritisation of tasks;

  • Experience of managing a demanding schedule;

  • Excellent knowledge of MS Office.
