To create this positive and progressive working environment and to be able to respond to the changing needs of the business we are looking for a Project Coordinator to support the wide variety of projects handled by the Estates team.
Based at our regional headquarters in Chicago, this role will work with the Estates team to help deliver an exceptional service. The Project Coordinator will be responsible for the setup, tracking, and reporting of estates related projects, along with ongoing support of vendor management for the team. This role will also involve active collaboration and communication with our AP department and the business unit occupiers of our spaces. 


  • Support the Estates team throughout project lifecycle for all projects
    • Attend project meetings as requested
    • Keep status reports up-to-date for various stakeholder groups, ranging from detailed implementation reports to high level executive updates
    • Track project spend against budget, provide regular updates/reports
  • Manage operational and project billing processes and records
    • Evaluate and approve all incoming bills to be submitted to accounting for payment
    • Manage the PO process for qualified spend
    • Act as first point of contact for vendors with billing questions; handle or refer as appropriate
    • Facilitate the capital expenditure process alongside project and operations managers
  • Implement and maintain records on all locations
    • Work with implementation team to initiate any required licensing for sites
    • Work with tax and accounting teams to maintain local, state, and federal licenses
    • Collate vendor and account information to share with operations, accounting, and other stakeholders as appropriate
  • Special projects and ad hoc requests from the Senior Director of Real Estate
    • Become information custodian and SharePoint expert for Estates team information
    • Team administration – calendar management and expense reporting for team meetings and events 
Additional Accountabilities:
  • Forge links with other markets & functions to ensure sharing of best practice
  • Collaborate with other departments such as IT, Security etc. when workplace matters and projects require their input.
  • Report critical details to the Estates management organization while proposing timely and cost effective solutions for outstanding needs
  • Identify opportunities that fall within the role to enhance professional growth


  • Previous experience of working in a fast paced environment in a support role
  • Proven experience with multi-tasking, managing priorities, and balancing mixed requests
  • Highly organised, attention to detail with experience of prioritization under pressure
  • Strong communicator; ability to convey issues concisely and accurately
  • Excellent interpersonal skills; ability to build productive working relationships and influence 
  • Good  analytical skills; to be able to assess problems thoroughly and drive logical conclusions
  • Confident; comfortable with interacting with others, and willingness to show initiative
  • Adaptable/flexible; understands the needs of the business may change quickly and can respond accordingly
  • Professional business acumen
  • Aptitude for technology and software - proficiency with Microsoft package software, particularly Excel and PowerPoint. 
  • Experience with financial accounting systems. SAP an advantage.
