Team Assistant

About Us

The Team Assistant will be responsible for providing a high-level administrative support. This will be an active and challenging role that requires a forward thinking and proactive individual to provide professional, administrative support.


  • Proactively manage emails and the complex diary of the GTM Director
  • Collaboratively coordinate with the Global EA/PA/TA team to organise meetings, events and support collaboration
  • Engage with all key communications to ensure appropriate onward distribution and adherence to relevant deadlines/timeframes
  • As necessary, support the GTM Director in meetings to take minutes/action points, and follow up on action points as required
  • Support the GTM Director and the wider team with visibility of key dates and deadlines (e.g. People related cyclical events, report submissions etc.) and ensure timely reminders
  • Support to collate, summarise and prepare relevant reports and presentations, as required by the GTM Director
  • Lead the organisation of all internal team events, including arranging online/offline locations, agenda management, co-ordinating attendee travel arrangements where applicable, and share of actions and content post-event
  • Support the GTM Director to stay up to date with all relevant systems updates, e.g. new updates to MS Teams, enabling collaborative working globally
  • Arrange all travel and hotel bookings for the GTM Director, including providing detailed itineraries
  • Complete expenses each month for the GTM Director
  • Continuously improve administrative processes and roll out of any changes as required
  • At all times handle confidential matters with discretion

Skills & Abilities:

  • Energetic, engaging and positive ‘can do’ attitude
  • Excellent communication, stakeholder management and interpersonal skills
  • Able to work proactively, think ahead and multi-task in a fast-moving environment
  • Excellent organisational skills and prioritisation skills, with exceptional attention to detail
  • Culturally aware and with an international mindset, together with a collaborative style as a strong team player
  • Discreet and trustworthy, with the ability to handle confidential and sensitive information
  • Excellent knowledge of Office and collaboration applications

  • Experience of coordinating for a busy team in a fast-paced environment
