About the role
We are looking for Team Coordinator who will:
Be a hub for general enquiries and point of contact for the NPI project teams
Build a network and directory of key contacts to effectively resolve day-to-day barriers
Coordinate and work closely with Estates and Facilities Departments to secure efficient and on-time office enhancements
Work with Dyson Security to manage access requests and asset tracking
Monitor and reinforce office best practices, including clear-desk-policy
Collaborate with Upstream colleagues to identify and implement improvement processes, enhance efficiency and assist Engineering teams
Distribute Upstream-wide communications on behalf of Project Leads, Dyson Security and Estates and proactively manage mailing lists
Monitor actions from reviews with James Dyson for the projects you work with
Coordinate internal and external events (liaise with IT and Catering teams, support meeting organisation and preparation)
Coordinate and book complex travel itineraries (including flights, hotels and currency) and advise team members on visa applications
Process orders raised by Upstream team and resolve purchase requisition related queries to assist product development
Proactively monitor and replenish office consumables
Manage and log special recognition awards for the project teams you work with
Assist Project Leads in tracking their project teams training completion
Help to archive Upstream Team logbooks and prototypes
Manage Upstream building lockers for wider team
Manage onboarding of Upstream New Starters (including IT equipment, SharePoint access, training assignments, Personal Protection Equipment)
Stretch Opportunities - Personal Assistant
Manage the calendars of NPI Leaders (including scheduling of meetings and providing administrative support)
Regularly review ways of working with NPI Leaders
Support PA to Upstream Vice President as required
Stretch Opportunities - Project Management
Project administration – creation of Dyson project framework (SharePoint, Microsoft Teams, TeamCenter)
Create and manage project team structure and calendar, ensuring important meetings and reviews are booked in a timely manner
Project reporting – gather project related information and review with Project Lead and Project Manager/Programme Manager
Project user trails – create and manage rig trackers. Work with Dyson Prototyping team to ensure on-time part delivery
Assist with booking of test facilities for your team’s projects
Highly motivated to help our Upstream project teams invent and deliver world class products, driven to enhance processes and ways of working Experience as a proven multi‐tasking and organised team administrator is essential
Highly organised, works well under pressure and a flexible team player
Fast and accurate typing skills
Good standard of written English
Essential PC skills to include Microsoft Office Suite (Word, Excel, PowerPoint) and Internet systems
Confident and polite telephone manner
Experience of using Microsoft SharePoint
Good general IT skills
SAP Ariba experience
