About the role:
Dyson is looking for 1 Receptionist/Workplace Assistant belonging to the protected categories L.68/99 for its Milan office.
Main tasks:
Reception:
Reception coverage: morning from 08:00 am to 1.00 pm or afternoon from 2:00 pm to 7.00 pm. Handling Opening and office closure.
Implementation of COVID protocols when accessing office: checking green pass and temperature measure.
Management and booking meeting rooms.
Email archiving and sorting
Management of ordinary mail and couriers
Welcoming customers, business partners and support for international visits
Administration:
Support in various administrative tasks:
PO Raising:
Office rent and parking rent
Cleaning service in office and in our workshop based in Milan
Business cards order for the business (office and stores)
Stationery orders and handling as central approvers
Food supply for office (fruit, snacks and coffees)
Public transport sbuscription for office employees – Dyson has corporate discounted rates with public transport in Milan
Vendors creation on SAP
H&S activities
Handling company cars – support order for new cars and handling fines for employees
Assistance in the organization of business trips, if needed: handling contacts with BCD travel or train bookings.
Support for employee engagement activities – finding market players (e.g. travels, online shopping etc) that offer free partnership for getting discounted rates for Dyson employees.
Setting utilities (electricity &Internet) for office and Dyson Demo Stores&MDZ
IT admin support:
inventory on IT devices – for new starters, replacements if needed and new store openings.
Activation of VODAFONE sims if needed
Tracking all devices in Italy market with serial numbers etc
Health&Safety activities:
Handling medical checks – mandatory by Italian Law - for Dyson employees.
Handling H&S trainings for all Dyson employees - mandatory by Italian Law.
This is about setting online users to attend training, handling PO with supplier and file keeping all certificates when the training is completed
Office activity support
Catering organization for events throughout the office
Office coordination: supervising meeting rooms, dishwasher, kitchen are tied up and supervising COVID protocols inside office
Support in the management of the various suppliers of the office (eg Cleaning, Alarms ..) when required.
About You:
Belonging to the protected categories L. 68/99 art. 8 (mandatory requirement)
Knowledge of English
Diploma of Higher Education and Knowledge MS Office Package
Previous experience with switchboard/general affairs tasks is welcome
The contract offered is part time, initially for a fixed term with possible indefinite renewal.
