The Regional Supply Chain team is responsible for overseeing day-to-day supply chain activities within the region's markets. This encompasses responsibilities such as supply planning, logistics and fulfilment, warehouse management, inventory management. Their objective is to ensure the smooth flow of goods from market warehouses to customers while also striving to optimize costs and enhance customer satisfaction.

About the role

As Spares Fulfilment Specialist within the Supply Chain Hub, you will be responsible for the end-to-end operational management of spare parts and, where applicable, refurbishment operations. You will work closely with customer service, repair centres, e-commerce and refurbishment partners to ensure timely availability and fulfilment of spares for both in-warranty and out-of-warranty cases. A core focus of the role is to enable a resolution lead time of under two weeks for owners. You will also lead the monthly Demand Review Meeting for spares, aligning stakeholders on forecast assumptions, service risks and corrective actions. This role is pivotal in driving high service levels, operational visibility and aftersales reliability across markets.

Key Responsibilities

Spares Fulfilment Coordination

  • Oversee daily fulfilment and dispatch of spare parts to repair centres, refurbishment partners, e-commerce platforms and directly to owners.

  • Ensure availability of critical parts across markets to support target service levels.

  • Manage inbound and outbound flows in collaboration with planning, logistics and 3PL providers.

  • Monitor fulfilment exceptions and act swiftly to resolve back orders or stock-outs.

Customer Service, Repair and E-commerce Collaboration

  • Act as the supply chain interface for customer service, repair centres and online spares sales.

  • Align on volumes, service patterns and spare part requirements based on trends and actual case data.

  • Coordinate urgent interventions for escalated or high-priority cases

  • Ensure clarity and responsiveness in communications with all service-facing functions.

Refurbishment Operations

  • Support spare parts readiness and flow for refurbishment activities where applicable.

  • Coordinate with refurbishment partners to ensure timely availability of repair parts and packaging.

  • Forecast parts used in refurb flows and monitor consumption versus plan.

  • Drive visibility and control in refurb-related stock movements.

Forecasting and Demand Review

  • Lead and chair the monthly Spares Demand Review Meeting, aligning planning, service, commercial and operations teams.

  • Ensure forecasts are based on historical consumption, failure trends and upcoming campaigns.

  • Track forecast accuracy and lead corrective actions to address major variances.

  • Recommend stock policy adjustments to balance availability, risk and cost.

Service Level and Resolution Timelines

  • Ensure spare parts fulfilment enables issue resolution within two weeks for all owners.

  • Track key service KPIs including fulfilment cycle time, stock outs and order fill rate.

  • Escalate service risks and coordinate structured recovery plans with relevant teams.

  • Identify and mitigate causes of recurring delays or demand surges.

Partner Management and Fulfilment Oversight

  • Collaborate with 3PL partners to ensure high picking accuracy, packing quality and delivery performance.

  • Monitor and review outsourced fulfilment KPIs.

  • Escalate and resolve under performance through structured routines.

  • Ensure all partners operate in line with agreed workflows and service standards.

Continuous Improvement

  • Drive enhancements in spare parts delivery speed, order accuracy and exception handling.

  • Support digitalisation and automation of spares forecasting and fulfilment processes.

  • Identify improvement opportunities in demand visibility, returns handling and refurb flow efficiency.

  • Contribute to cross-market learning and the development of best practices.

About you

  • 3 to 5 years of experience in supply chain, after sales fulfilment or spare parts logistics.

  • Familiarity with e-commerce fulfilment, customer service collaboration and planning cycles.

  • Experience coordinating with 3PLs and reverse logistics partners

  • Ability to lead demand review forums and align diverse stakeholders around a shared forecast.

  • Analytical and hands-on, with strong ownership and service mindset.

  • Excellent communication skills and comfort in fast-paced operational environments.
